Overview
A major pain point and administrative burden for many HR & Payroll professionals is the process of registering for an Identification Number with state, and local taxing authorities. In the US, every state requires employers to formally register for tax accounts when they have employees within the state. When registering within a new state there are typically two different jurisdictions that a company must register with: the State’s Department of Labor and the State’s Division of Revenue. Namely’s Tax Registration Service makes that process easy! We’ll help you register with the state’s Department of Labor and the Division of Revenue as well as any other required local jurisdictions if you purchase this Project Service.
Why Use State Tax Registration Services?
Having your business properly registered within each state that you do business in (or have employees in) is a critical component of a successful partnership with Namely as your payroll provider. If your business is not registered with the state(s) Namely will not be able to make tax payments on your behalf and you will be responsible for penalties and interest due to late payment(s) and/or filling(s) for that state(s). Namely can help remove the burden of managing this process and reduce the risk of penalties by leveraging our service.
Typically, this service is needed when:
• A Client is paying employees in a new jurisdiction for the first time.
• A Client is moving from a PEO and was filing under the PEO’s ID’s.
• During merger and acquisition activities.
This service is recommended for companies that need to register for more than one jurisdiction at a time and for states that do not require paper registration forms.
Service Details
To sign up for this service, you will submit a project request from our Project Services Catalog in the Namely’s Help Community. Once the project is received, we will assign it to a Consultant who will partner with you to complete the following steps:
• Complete the State Tax Client Enrollment Information Form which collects all of the required information needed to
register for the tax.
• Create the user account for each state that requires it. We will provide you with the link to create the user account and
you will share the username and password with us so that we can complete the registration.
Once we have completed the registration, you can expect to:
• Receive the ID numbers either via email or mail
• You will be responsible for updating your tax information within Namely Payroll
• Complete any third-party authorizations that are needed to allow Namely to file those jurisdictions on your behalf
• Supply Namely with any crucial payment information
Project Pricing
Each application is $250 and each local tax jurisdiction is an additional $250, fixed fee. For Managed Payroll clients, this cost is included.
